• Provide direct Executive Assistant support to the Head of Civil or Construction

• Assist with tender administration, including completion of non\-technical schedules and document formatting (Word, Excel, PowerPoint, PDF preparation)

• Manage inbox support and internal correspondence, including drafting and issuing emails on behalf of management for internal stakeholders
<\/div>
• Handle calendar management, meeting coordination, and scheduling across multiple stakeholders
<\/div>
• Coordinate domestic and international travel, including flights, accommodation, hire cars, and detailed itineraries
<\/div>
• Support onboarding administration for new staff, including coordination of accounts, uniforms, access forms, and internal requests
<\/div>
• Liaise with IT providers for basic coordination and requests (no technical troubleshooting required)
<\/div>
• Prepare documents and materials for meetings, presentations, and business travel
<\/div>
• Assist with expense administration, including receipt tracking and coding statements to projects using Excel
<\/div>
• Manage leave approvals through internal portals and systems
<\/div>
• Support fleet and plant administration, including registrations, insurance documentation, and servicing bookings
<\/div>
• Coordinate events, training bookings, key milestones, and internal initiatives as required

• Act as a dependable point of contact to ensure staff have the resources and support needed for daily operations

• Identify and recommend improvements to administrative systems and workflows

• Ability to manage multiple priorities in a fast\-paced environment.
